Privacy Policy
CoachSync is a youth baseball development tool used by coaches and families. This policy explains what we collect, who can see it, and the control parents and legal guardians hold over their child's information.
COPPA compliance — children do not hold accounts
Children under 13 do not hold CoachSync accounts, cannot create one, and cannot sign in. A player profile is a non-login record: it exists only inside a team roster and is managed exclusively by the team's coaches and by the parents or legal guardians who have linked to it with a coach-issued invite code.
Anything a player contributes — a practice message, a check-in, a home rep log — is entered through a signed-in parent or guardian account, is visible to that family and the team's coaches, and is never public.
What we collect
Player records: first and last name, jersey number, position, age group, optional photo, and team assignment — entered by a coach or imported from the team's scorekeeping export.
Development data: coaching notes, skill progress, attendance, assigned instructional videos, practice points, and imported game statistics.
Account data: for adults only — email address, display name, and the relationships that connect an account to a team or to a player.
Usage data: page views, device type, coarse location, and a masked IP address, used to understand how the beta is being used.
Who can see a player's data
Access is enforced in the database, not just in the interface. A parent or guardian sees only the players they are linked to. A coach sees only their own team. Nothing about a child is exposed publicly, indexed by search engines, sold, or shared with advertisers.
AI usage transparency
CoachSync uses AI to turn a coach's shorthand notes into plain-language family summaries, to propose practice points from logged activity, and to build development roadmaps from performance data.
AI processing covers athletic performance information only. We do not use children's personal information to train public or third-party models, and AI-proposed practice points always require a coach's approval before they count toward a total or a leaderboard.
Your data rights — export and deletion
A parent or legal guardian may request a complete export or the permanent deletion of their child's data at any time. Email adamjglick@gmail.com from the address on your CoachSync account with:
- the player's full name and team,
- whether you want an export, a deletion, or both,
- the word "EXPORT" or "DELETE" in the subject line.
Exports are delivered as a machine-readable file covering the player's profile, notes, attendance, points, messages, and statistics. Deletions remove the player record and its associated development history within 30 days. You can also unlink yourself from a player at any time from the Family Portal.
Retention and security
Data is retained while the player is on an active roster and for one season afterward, unless you request deletion sooner. Data is stored encrypted in transit and at rest, and access is restricted by per-row database policies tied to your signed-in account.
